We're looking for a detail-oriented, proactive Sales Operations Administrator to sit at the intersection of systems, process, and cross-functional collaboration. You'll keep the revenue engine running smoothly and drive meaningful improvements to how it works.
Strong English communication skills are a must, as you'll be working daily with an international team.

What You'll Do
- CRM & Systems Ownership
Be our HubSpot super user. Configure record views, build automation workflows, design reports, and own data health. You'll also support and train others across the organization. - Sales Operations Support
Provide day-to-day operational support to the VP of Business Operations and the broader sales team: drafting agreements, coordinating meetings, managing the document library, and keeping records airtight. - True-Up Process Ownership
Own the end-to-end true-up process analyzing customer license usage, calculating overages, drafting order forms, and updating billing records with full accountability. - Reporting & Analytics
Build and maintain executive-level dashboards and automate reporting through advanced Excel workflows, so leadership can make data-driven decisions without chasing numbers. - Process Improvement
Identify inefficiencies before they become problems. Lead process discovery, run improvement initiatives and contribute to company-wide operational projects. - Sales & Marketing Collaboration
Partner closely with Sales and Marketing to align on pipeline health, campaign performance, and shared revenue goals. You'll be a trusted connector between teams - translating data into action and keeping everyone working from the same playbook. - Cross-Functional Reach
Build strong working relationships with Finance, Services, Support, and Executive Leadership. You'll align priorities and support the execution of revenue-generating activities across the business.
What We're Looking For
- HubSpot
Hands-on HubSpot experience is essential. You should be confident building workflows, creating custom reports and dashboards, configuring pipelines and deal stages, setting up contract templates, and maintaining data integrity. Experience supporting other users and rolling out new features is a strong plus. - Excel
Advanced Excel proficiency is required. You're fluent in XLOOKUP, INDEX/MATCH, SUMIFS, pivot tables, and data validation. You can build structured, automated workbooks, dynamic dashboards, billing trackers, usage analysis models and handle large, messy datasets with confidence. - AI Tools & Productivity
You actively use AI tools - ChatGPT, Claude, Copilot, or similar - to work faster and smarter. You prompt effectively, evaluate outputs critically, and integrate AI into your daily workflow in ways that save real time without sacrificing accuracy.
